Position Summary
Associate Director Sales Automation is a client facing (field leadership, field teams, and home office) who is responsible for supporting the Commercial CRM (Veeva) system and end user requirements for Otsuka field and brand teams. This position is also responsible for identifying solutions and efficiencies enabling the Customer Engagement Model in the CRM System. This position works cross-functionally with the brands, sales, IT, Data Management, legal, E&C, and several vendors) to develop effective field CRM enhancements supporting the commercial business. The position is required to have a strong understanding of the Veeva System and capabilities. The Associate Director of Sales Automation is responsible for gaining insights on opportunities to improve the end user experience and introduce new Veeva Features to the field and write end user requirements. Occasional travel is required to work directly with the field or to attend conference, seminars, or training meetings.
In addition, this position educates stakeholders on the utility of CRM and the capabilities of the system to help improve customer engagement opportunities for their respected sales teams. Leads activities associated with vendor management and support the ongoing development of field reports within Veeva. Enhancements to the CRM system that are aligned to Brand Strategy and positive user experience. This role requires business ownership (quality assurance, enhancements, and communication) of the Veeva platform and strong working knowledge of the Customer Engagement Model we support. The Associate Director of Sales Automation will collaborate closely with Commercial Operations, Sales, Omnichannel, IT, Legal & Compliance and Marketing to assess new initiatives and day to day operations of the platforms. The position will report to the Director of Sale Technology Enablement.
Finally, the role will support the Region Matrix Business planning tool by ensuring that the system complements the Customer Engagement Model and is aligned to the planning process cycle. This requires cross collaboration with Training and Development, Brand, Field Leadership, Ethics & Compliance, Legal, and our Business Planning Workstream.
Core Responsibilities:
  • Continuous Improvement: CRM technology enhancements through collaboration with the Salesforce, brand team, information technology department, data analytics, and data stewardship to obtain best in class CEM technology capabilities and ensure alignment with our stakeholders - 30%
  • CRM Management: Responsible for CRM business design requirements, implementation, and stewardship of CRM platform, including sampling, territory planning, medical information requests, promotional materials, legal & compliance requirements, and system training, etc. – 20%
  • CRM Field Report Management: Lead the requirements gathering effort, analyze reporting needs, maintain a stringent quality control processes and measures that ensure the accuracy. Identify opportunities for business process and technology improvements – 15%
  • Region Business Planning – Provide enhancements to the tool to better support our Customer Engagement Model and Integrated Asset Planning processes to enable effective Matrix Team business planning – 10%
  • Subject Matter Expert: Serve as a SME for assigned area, understand business needs, maintain awareness of industry trends, organizational business rules and provide recommendations to facilitate decision making that is aligned to the Customer Engagement Model and brand strategy – 10%
  • Project Management: Oversee multiple project deliveries with end-to-end responsibility throughout the project lifecycle, including gathering business requirements, defining project timelines, and providing status updates. In addition, ensure legal and compliance approvals of sale reporting and CRM enhancements -10%
  • Vendor Management: Manage the day-to-day operations of our sales reporting and CRM vendors by assigning projects, quality assurance, workload distribution, evaluate performance and best in class capabilities – 5%
Specific Job Responsibilities
  • Understands the needs of the salesforce by identifying reporting & CRM requirements and ensuring recommendations are implemented and aligned to CEM and brand stagey
  • Responsible for managing the development, accuracy & quality assurance, communication, and distribution of field force analytics and CRM systems. Recipients of these systems include the salesforce, brand teams, legal & compliance, and home office stakeholders
  • Own the knowledge transfer process through effective communication and training activities on sales reporting and CRM deliverables. Develop communication and training plans for new tools releases, enhancements, reporting best practices and FAQ’s
  • Aptitude to think strategically to manage and resolve conflicting/competing priorities
  • Innovate to improve methods and processes through collaborating access deportments and sales teams

Qualifications
Required
  • Bachelor’s degree or equivalent.
  • Minimum 5 years of commercial experience in the pharmaceutical industry
  • Experiencing using and working with field reporting and CRM platforms
  • Experience managing Veeva or CRM platforms that support that commercial business
  • Project management and vendor management experience
  • Strong problem-solving skills
  • Understanding of technology, IT, system testing, UAT testing a plus
  • Excellent communication, collaboration, facilitation, and presentation skills
  • Strong customer service and support orientation
  • High proficient with Microsoft Office tools, Power Point, Excel, Word and MS Project
  • Up to 20% travel is required based upon business needs
Preferred
  • Commercial CRM platform management experience supporting pharmaceutical sales teams
  • Experience managing systems or platforms through organizational change
  • Working knowledge of other pharmaceutical industry supporting Customer Relationship Management tools
  • Experience with business process optimization and continuous process improvement methodologies and tools
